FLOU works with online creators: editing, graphics, video production, a recording studio and gear rental. Everything around that work, meaning the offer, the orders, the dates and who currently has what, lived in emails, spreadsheets and somebody's head. We built the system for it from scratch.
One offer instead of five price lists
Editing is billed per piece, the studio per hour, gear per day, production per shooting day. That is five different ways of counting, and they all had to fit one model. They do: there is a single catalogue, and every item carries its own unit, its variants and whether it can be booked for a date.
Prices are stored as whole minor units and recalculated on the server, never from whatever the browser sends. Discounts for volume, for longer rentals and for booking several services at once always come out the same.
An order instead of an enquiry
The client places the order themselves: they pick services and gear in the configurator, watch the price as it adds up, put it in the cart and order. The order is written to the database, and a confirmation goes out by email to the client and to the team. Online payment is the next stage; today the order lands in the panel and a person takes it from there.
A calendar that keeps track of the gear
Rental is not a cart, it is dates. Bookings have their own calendar in three views: list, week and month. A date can be moved, a booking can be added by hand, and the system checks for clashes, so the same lens never goes out twice for the same days. Every booking has its own screen with a status.
A panel the company runs on day to day
The team got one place for orders, bookings, leads and users, with roles and permissions enforced on the server. The offer is edited straight from the browser: changing a price, a description or a variant needs neither a developer nor a deployment. There is also a QR code generator for printed materials.
The client has their own part of the panel, and sees nothing in it but their own orders and bookings.
Where it stands now
The site is behind a pre-launch curtain: everything runs, and the public half opens on launch day. Online payments and settlements are next in the queue.
